Terms & Conditions

These terms govern your use of TaxMate Rwanda. By creating an account you agree to them.

1. What TaxMate is — and is not

TaxMate Rwanda is a compliance-assistance and automation platform. It helps you organise your records, computes figures deterministically from the data you provide, prepares official templates, and can drive official portals on your instruction.

TaxMate is not a tax agent, accountant, auditor or law firm, and does not provide legal or certified tax advice. You remain fully responsible for reviewing, approving and filing every official tax, VAT and RSSB submission, and for its accuracy.

2. Account responsibilities

  • You must provide accurate business information, including your correct TIN.
  • You are responsible for keeping your password and portal credentials confidential.
  • One account represents one business entity; do not share credentials.
  • You must notify us promptly if you suspect unauthorised access to your account.

3. Acceptable use

  • Do not upload unlawful content or data you have no right to process.
  • Do not attempt to access another business's data or to bypass access controls.
  • Do not use TaxMate to submit knowingly false declarations.
  • Do not attempt to disrupt, reverse engineer or overload the service.

4. Subscriptions and payment

  • New accounts receive one day of free TaxMate AI access, once per account.
  • Monthly: USD 3.00 for 1 month.
  • 6 Months: USD 15.00 for 6 months (1 month free).
  • 12 Months: USD 30.00 for 12 months (2 months free).
  • Prices are charged in USD. Any RWF amount shown is an indicative conversion at a reference rate and is not the billed amount.
  • Card payments are processed by Stripe. Manual payments may be made by bank transfer to Ecobank, account 6780004829, and are activated only after the administrator verifies the payment.
  • Subscriptions are for fixed periods and do not auto-renew by charging you again without a new payment.
  • Payment statuses used are: Active, Pending, Failed, Cancelled and Expired.

5. Refunds and cancellation

You may cancel at any time; cancellation stops future renewal and your access continues until the end of the period already paid for. Paid periods are generally non-refundable once the service has been made available, except where required by applicable law.

6. Account deletion

You can delete your account at any time from Business Profile → Delete account. Deletion is permanent, cancels your subscription, and removes your records and uploaded files. Export anything you still need before deleting.

7. Automation limits

  • Automation depends on external systems (RRA eTax, MyRRA/EBM, RSSB Ishema). Those systems can change, require one-time passwords, or be unavailable, in which case TaxMate hands the step back to you instead of pretending it succeeded.
  • TaxMate asks for your explicit approval before submitting an official declaration or making a payment.
  • A generated declaration or annexure is a preparation aid. Confirm it against the official portal before relying on it.

8. TaxMate AI

TaxMate AI answers using a curated Rwandan compliance knowledge base and your own authorised records. It can be incomplete or out of date, and it does not replace a qualified tax advisor. Deterministic figures come from code, not from the model.

9. Third-party integrations and tax advisors

Tax advisors listed in the directory are independent professionals. TaxMate passes your request to the advisor you choose and reveals their contact details only after they accept. We do not employ them, set their fees, supervise their work or guarantee their services; any engagement is directly between you and the advisor.

10. Service availability

We aim to keep TaxMate available continuously but do not guarantee uninterrupted service. Maintenance, provider outages and external portal downtime can interrupt access. We do not offer a contractual uptime guarantee.

11. Intellectual property

TaxMate's software, interface and knowledge base remain our property. Your business data, documents and generated declarations remain yours; you grant us only the permission needed to operate the service for you.

12. Limitation of liability

To the maximum extent permitted by law, TaxMate is not liable for penalties, interest, fines, lost profits or indirect losses arising from your use of the service, from data you entered, or from external portal behaviour. Our total liability for any claim is limited to the subscription fees you paid in the twelve months before the claim.

13. Changes to the service and these terms

We may add, change or discontinue features, and may update these terms. Material changes will be communicated in the app. Continued use after a change means you accept the updated terms.

14. Contact and support

For support, billing questions or complaints, contact us on WhatsApp or by phone at 0793050070.
